This page explains how login and notifications work, how phone numbers are used, and how to deactivate or reactivate an account.


How Login Works

  1. Enter your email address on the login screen.
  2. Gurail sends a one-time code to your phone via SMS.
  3. Enter the code to log in. No password needed.

The code is always sent to the phone number on your account — your personal login phone. This is the number you set when you first accepted your invite. It doesn't change when you switch between locations.


How Booking Notifications Work

When a booking is created, updated, or cancelled, Gurail sends an SMS to the customer or member involved.

Notifications are sent to the phone number stored on your membership within that banner (franchise group). If you belong to multiple banners, each one can have a different contact phone for you.


Multiple Phone Numbers Explained

Your account can have more than one phone number, and each serves a different purpose:

Example

Sarah is a coach at two banners: Ace Tennis Club and Metro Racquet Sports.

  • Her account phone is her personal cell: (604) 555-1234. Login codes always go here.
  • At Ace Tennis Club, her banner phone is the same: (604) 555-1234.
  • At Metro Racquet Sports, she uses her work phone: (778) 555-9876. Booking notifications for Metro go to this number.

Deactivating an Account

Deactivating a person removes them from booking dropdowns and prevents them from being assigned to new bookings. Their past bookings, attendance, and payment history are preserved for reporting.

To deactivate someone:

  1. Go to People and find the person.
  2. Click their Active status badge.
  3. If they have future bookings where they are the only participant, Gurail shows a warning listing those bookings. You must resolve them first:
    • Edit — open the booking and reassign it to someone else.
    • Cancel — cancel that individual booking.
    • Cancel All — cancel all listed bookings at once.
  4. Once all blocking bookings are resolved, click Deactivate to confirm.

Note

A booking only blocks deactivation if the person is the sole coach, sole student, or sole customer on it. If other people are also on the booking, deactivation proceeds without issue.

Reactivating an Account

To reactivate someone:

  1. Go to People and find the inactive person.
  2. Click their Inactive status badge.
  3. Confirm the reactivation.

The person becomes available for bookings again immediately.
